Digitalising cuts cost, saves time for firms

The pandemic has accelerated digital transformation and everything else about how technology drives business forward.

Organizations are under increasing pressure to stay competitive, create connected experiences and to digitize services quickly at scale to meet rising customer demands and create new revenue channels, said an expert during a webinar.

The Ministry of Transport and Communications (MoTC) recently organized a webinar on ‘Nurturing SMEs’. Greig Orrell, Business Development Director of SigniFlow for UK, Europe and Middle East, discussed how the Global Economy is being redesigned to modernize Small and Medium-size Enterprises (SMEs) which will be the winners in the new world order.

Line of business users is developing digital customer experiences faster.

IT needs to drive cultural change by empowering the business to self-serve and deliver solutions quicker.

Greig said, “In many regions electronic signatures are adhered to in the legislation like in Qatar electronic signatures are accepted and 99 percent of all countries accept electronic signatures. We are in an age where paper is impossible to deal with as people are not working in offices. Electronic signing has been around for last 20 years, but it was very much born around the factor of efficiency that is getting a digital document signed and completed quickly and stored is the primary focus of the electronic signature. We have been educating people there are risks associated with sharing of documents in a digital format when the data is not protected, and compliance requirements are not met.”

“Businesses have been looking for a way to move away from paper by reducing the amount of paper used. An employee can spend over a year 30 to 40 percent of their time looking for lost information or data.

The cost to share hard copies of paper is more expensive than sharing it digitally. When you consider storage of documentation, printing, and the postal cost it is more expensive than digital format,” he added.

The speaker highlighted, paper has been a real part of business for a long time and organizations have to strive for paperless office but a lot of them are going to fail to push through that paperless world unless it is done correctly.

And the solution is digitalizing the documents in a way the process can be sped up, not just for the employees and the business but also for the customers. He said, “Digitizing documents is a way to speed up any process linked to essential file.

This includes management that is easily accessing documents that are completed online and automatically organize into folders, compliance which is information at all levels can be captured, delivered, and processed by being compliant with data protection laws, and realigning and investing in new technology with a specific focus on customer experience. Many leaders within SMEs often see digital transformation as a path to grow their business, to streamline operations and strengthen relations with customers.”

The expert shed light on digital signature which is a type of electronic signature.
